Before the doors open.
Use this checklist to prepare for provider conversations and organize the private work around your opening. It is an operational planning guide, not a permit checklist or legal, tax, or insurance advice.
1. Put your project on one page
- Describe the business, location, and current stage.
- Write down your target opening window and the assumptions behind it.
- List the work still to be done and who makes each decision.
- Set a working budget and identify which estimates are still missing.
2. Identify the providers you need
- Buildout and contractors: define the work, site access, and dependencies.
- Cleaning: distinguish construction cleanup, opening preparation, and recurring service.
- Branding and marketing: identify signage, website, photography, and launch materials.
- Insurance: discuss your business activities and coverage needs with an insurance professional.
- Bookkeeping: plan transaction records, payroll support, and the handoff to your accountant.
- Operations: review equipment, POS, internet, security, and day-to-day responsibilities.
3. Compare scopes, not just prices
- Ask each provider for written deliverables, exclusions, schedule, and payment terms.
- Confirm applicable qualifications, insurance, references, and availability.
- Identify who supplies materials, approves changes, and handles delays.
- Clarify whether one provider’s work depends on another provider finishing first.
4. Make the handoffs explicit
- Assign one person to each decision and follow-up.
- Keep an agreed milestone list and current contact information.
- Record changes in writing and update affected providers.
- Confirm completion and any ongoing service needs before closing out each scope.
